  • Processes payroll every two weeks including ensuring the submission of all necessary completed payroll forms, entering and/or compiling of all payroll data, printing of all payroll checks and time sheets, preparing payroll checks and time sheets for distribution, running and filing of all required reports, time sheets and all employment required or related forms that are not part of personnel files.
  • Processes withholdings and prepares checks and all required documentation for distribution. Maintains good working relationships with the businesses or agencies for whom mandatory and/or voluntary withholdings are processed.
  • Maintains and ensures the updating of all records for employee withholding amounts due to earnings changes or notice of amount change - including but not limited to garnishments, child support, workers' compensation, all voluntary deductions.
  • Prepares and returns responses for all mandatory and voluntary withholdings and employment and/or earnings verification requests and answers payroll records related questions.
  • Maintains overtime, vacation, longevity, sick leave, FMLA, seniority, emergency contact info, and other records as required. Runs and distributes leave reports as required.
  • Maintains vendor files and assigns all vendor numbers. Assists in maintaining accuracy of ledger and budget entries in the accounting systems.
  • Processes all purchase orders and check requests for payment and check auditing. Maintains files for all accounting journal entries.
  • Works cooperatively with other staff as required to complete reports, assess business procedures, and ensure any process and/or software improvements relative to payroll or accounts payable are completed.
  • Works with supervisors, new employees, and Human Resources so that new employees complete all forms required for employment, payroll, and benefits such as income tax withholding, IMRF participation, employment eligibility verification, receipt of personnel policies and job description, driver's license verification, contributions fund, emergency contact information, direct deposit, and all voluntary withholding options. This may include participating in orientation sessions, especially for seasonal employees.
  • Trains Park District staff on how to record time for submission to the payroll office as required including participation in supervisory training meetings. Trains all employees assigned as back up for job functions.
  • Ensures accurate reporting of all earnings and withholdings. Initiates and completes all processes and reporting necessary to correct payroll processing errors including, but not limited to, overpayment and underpayment of wages and withholdings.
  • Maintains records for EEO reporting for all District employees and runs reports as required. Coordinates coding for EEO reporting with Human Resources.
  • Maintains the support service program data and reporting.
  • Works with Human Resources with information needed for the hiring process, updating of personnel records, payroll records, and benefit records.
  • Functions as the administration receptionist on an as needed basis.
  • Follows all safety procedures that pertain to the duties performed and supports all aspects of the Park District's safety program.
  • Performs other duties as assigned.
